User Guide · Mnémosyne

Import and Organize your documents.

In Mnémosyne, each document is filed in a client folder and can, when applicable, be linked to a specific project. The client, the link level, and the document type are defined directly during import.

The Role of Documents

Save the file along with its context.

The "Documents" section lets you import, organize, and preview files that are useful for your work.

During the import process, Mnemosyne asks you to specify the client folder to which the file belongs. You then choose whether it should remain in the client folder or be linked to a specific project.

The document type completes this link and allows the document to be filed under the selected record.

1
A file One or more files selected or dragged and dropped into the import window.
2
A Required Customer File The document must have a target customer in order for the import to be completed.
3
A Mission So Necessary Select a specific assignment only when the document belongs to that assignment.
4

Import a document

Prepare for the import in a single window.

The «Import a Document» window includes the customer selection, the association level, the document type, and the selection of files.

1

Select the customer folder where the document should be filed. You can select the file beforehand, but the final import requires a customer.

2

Define the affiliation

Keep «Client File Only» or select a specific project when the document belongs to that project.

3

Select the type

Select the document type that corresponds to the document you want to import.

4

Add the files

One window, four decisions

The context is established before validation.

Importing isn't just a matter of selecting a file. The window allows you to immediately determine where the part should be filed.

The target customer is the required link. The link level then allows you to store the document at the customer file level or to specify a project.

The document type defines its filing category, while the "Files" section allows you to add one or more documents.

i
You can select the files before the client.

Mnémosyne allows you to select files, but the import button cannot be used until a client folder has been selected.

Which affiliation level should I choose?
Option 01 For client files only

Maintain this level when the document pertains to the client as a whole and no specific task is required to understand it.

Option 02 Specific Mission

Select an assignment when the document clearly belongs to a case, a service call, or a job that has already been identified in the client's file.

The Right Context

The Customer File ...remains the anchor point.

A document imported into Mnémosyne must always be linked to a customer record in order to be filed.

Choosing a mission adds another level of complexity. It is only useful when the piece actually belongs to that specific work.

If none of the assignments match, simply select «Client file only.».

Document Type

The type determines its ranking.

During the import, select the type that corresponds to the document. Mnémosyne uses this information to file the document in the selected record.

01 Select the customer folder

The customer creates the parent folder in which the document will be stored.

02 Specify the assignment if necessary

A related assignment appears only when you select this assignment level.

03 Select the type

The selected type becomes the category used to classify the document.

Check Before Importing

The affiliation is Abstract before approval.

The «Classification» section of the window summarizes the information that will be used to classify the document.

In particular, check the status, category, parent folder, and associated assignment before starting the import.

When the selected level is «Client File Only,» no specific assignment is associated with the document.

Preview the file without losing its connection.

After importing, Mnemosyne lets you preview the saved files.

The document remains linked to its client file, its type, and—if you have selected one—an assignment.

To examine its context and relationships in more detail, select the document and then use the Inspector.

Find a document
1
Search for a keyword Use the customer's name, the subject, or a word from the document's name.
2
Open the result Go directly to the relevant document.
3
Check the connection Use the Inspector to check the element's context and relationships.
Research & Inspector

Find the coin, and its context.

The global search allows you to find a document based on a keyword without having to go through each client file one by one.

Once the file has been located, the inspector allows you to verify the information and associated relationships.

This way, you can find a document even when you can't immediately remember the client file or the project it was associated with.

Document & Working Paper

The document preserves the item. The note can continue to track the information.

A working note can be linked to a document when a decision, comment, or follow-up information needs to remain associated with that document.

Document The Play

The file has been imported, categorized, and linked to the correct context.

↔
Working Paper The Useful Trace

A decision, comment, or follow-up that may be related to the document in question.

i
A grade is not required.

Add one only if it provides information that cannot be understood or retrieved later from the document alone.

Best Practices

File correctly upon import.

01

Verify the target customer

The customer file is a required attachment. Check it before confirming the import.

02

Don't force a mission

Select an assignment only when the document actually pertains to that specific assignment.

03

Check the summary

Before importing, check the category, parent folder, and associated assignment displayed in the «Assignment» block.

If you encounter any difficulties

A document raises the question Problem?

I can't import a document

Verify that the customer record exists and that a document type is available.

The document does not pertain to any specific assignment

Select «Customer File Only» as the association level.

I can't find the document anymore

Use the global search, then check its context and relationships in the inspector.
