Manage Your Customer Records and customer files.
In Mnémosyne, the client record is the main file. It contains the client’s information and serves as a central hub for assignments, documents, notes, and contextual information related to your work.
Two formulations, the same level.
In this Help Center, the terms «customer record» and «customer file» refer to the same main section.
This section includes the customer's identity, contact information, and administrative details, as well as the work-related items associated with them.
The assignments are located within this client folder. They allow you to distinguish between different cases, mandates, or work topics when necessary.
Create a new one customer file.
The client profile is the starting point. Begin with the necessary information, then add to the file as your work progresses.
Click "New Customer"
Use «New Customer» in the action bar or the equivalent action available in the current view.
Enter the name
Give the record a clear and recognizable name so that you can easily find the client's file later.
Add any relevant information
Fill in the contact information and administrative details that you actually want to keep on file for follow-up purposes.
Save the record
Save the client file before adding assignments, documents, or notes to it.
Centralize the work without mixing everything up.
The customer file serves as the common link between the various elements. Each type of information, however, retains its own role.
Identity & Contact Information
Keep the general and administrative information needed to manage the relationship with the customer.
The Specific Tasks
A task represents a case, an action, or a specific step within a client file.
Work Elements
Documents and notes can be attached directly to the client file or, when applicable, to a specific assignment.
What Has Changed
Check the recent activity to quickly find the items added or modified in the client file.
The mission is contained in the client file.
The client file represents the overall relationship with the client. It may include several work-related topics.
A task is used solely to identify a specific case, action, or objective within this file.
Therefore, it is not necessary to create a task for each document. A document can remain directly linked to the client file when no more specific subject warrants an additional link.
Understanding What Is Related to the customer file.
When you select a customer record, the inspector allows you to verify the information and relationships associated with that record.
In particular, it helps you understand which assignments, which documents, and what other information are associated with the selected client.
The recent activity complements this review by highlighting the elements that have been added or modified.
Maintaining Structure easy to understand.
A simple, consistent name makes it easier to search and reduces the risk of confusion among multiple clients.
An assignment should focus on a specific topic or task, not become a mandatory step for every item.
A document or note may belong to the client file as a whole or to a specific assignment. Choose the level that best describes its context.
Create a client record, add an assignment only if your situation requires it, and then import a few documents and notes. This is the simplest way to understand the structure of Mnémosyne without unnecessarily complicating it.
Can't find the right one?
First, make sure you are in the correct client folder before reviewing the assignments or other items associated with that client.
First, select the correct customer record, then view the assignments in the file or use the inspector.
Use the global search with the customer's name or a keyword from the document, then verify that it is linked to the correct document.
Create a task only if the issue warrants being tracked separately within the client file.
Create separate assignments when they involve truly different tasks, rather than mixing all the topics into a single assignment.
Continue to organize your customer file.
Manage Assignments
Create and organize the specific tasks contained within a client file.
DocumentsImport Documents
Attach a file directly to the client folder or to a specific project.
BackgroundBackground & Contextualization
Understand how clients, assignments, documents, and notes are linked to one another.
