Export a context folder clear and communicable.
Prepare a selection of the context, notes, reasoning, and relevant documents, check the PDF, and then export or print the result. This feature is available starting with Mnémosyne 1.4.
Passing on what matters, without passing on the entire trunk.
A Background Document compiles a clear overview of your work: the context of the source, useful notes and reasoning, selected events, and, if necessary, attachments.
You decide what is transmitted. Mnemosyne formats the information that has already been recorded; it does not write summaries, does not correct your texts, and does not translate their content.
The Context Folder does not replace the vault export. The vault export is used to back up and transfer your data; the Context Folder is used to share part of your work with a third party.
Preparing for Your First background information.
The module is disabled by default. Enable it once, select your activity, and then create your folders from the relevant client or project.
Open Settings → Modules
Enable «Export Folders.» Disabling the module then hides its creation commands without deleting the existing history.
Choose your activity
When you first log in, select the industry that best describes your business. This choice determines the template and fields that are suggested.
Open the client or the assignment
Use the source that actually corresponds to the job you're submitting. A "Mission" export is more specific than a "Client" export.
Create the folder
In the Actions menu, select «Create a context folder…,» then verify the source before continuing.
Fill in the context in the Client or Assignment record, save it, then restart the creation process. The export wizard is not an editor for the original business-specific text.
Choose what the recipient must truly understand.
Verify the source, give the folder a descriptive name, and select only the relevant items. The explicit context of the source is still required.
Give it a clear title
The name is required and is pre-filled based on the client or assignment. You can replace it with a more specific title. It will be retained on the cover page, in the history, and in the output names.
Retain the core of the case file
The explicit context of the source is included and cannot be removed. It allows the recipient to understand the context of the work being shared.
Select the relevant items
Check the notes and reasoning you want to submit. The texts are reproduced exactly as they appear: they are neither rewritten, nor corrected, nor automatically translated.
Note the relevant facts
Select only the events that the recipient needs to know about. Automatic log entries are not included as items to be reported.
Expand on the suggested notes, reasoning, or events, and check the individual boxes before moving on to the next step.
List a Part isn't always to reach her.
The selected parts can be listed in the PDF along with their names and sizes. The files are provided only in the «Folder + Parts» or «ZIP Archive» formats.
With «PDF Only,» the recipient receives only the Context File, even if the names of the documents appear in the file.
Check each file before sending it: make sure it is the correct version, that the content is correct, that the recipient is correct, and that there is no confidential information.
Check the document before forwarding it.
Please enter only the contact information that should appear in the document: business name, logo, address, email, phone number, website, and business ID.
Next, select the language for the headings, the A4 or Letter paper size, the page numbering option, and the document footers and headers. A standard cover page is included in each folder.
The changes apply to the current file. To apply them to other files, explicitly select «Save as Default Layout.».
Select the output tailored to the recipient.
From the preview, open «Export...,» choose the desired mode, then select the destination folder in the macOS panel.
Mnémosyne does not send anything automatically. After confirmation, open the output and check the files before forwarding them using your usual tool.
Output names are derived from the folder name. An existing file is never silently overwritten.
Rediscover what has been passed down on a specific date.
The history retains the content as it was at the time of export. Subsequent changes to the client, the project, the notes, or the presentation do not alter the old records.
Open Settings → Exports → History, then select the desired entry to review the title, source, sections, documents, and output mode.
Historical information remains available for viewing. However, the history is not a backup copy of the PDF or the documents.
It adds a visual indicator to the document; it does not add a password or encryption to the PDF, folder, or ZIP archive.
Once created outside the vault, PDFs, folders, and ZIP files are no longer protected by the vault's document encryption. Use a destination and a transmission channel appropriate for the sensitivity of the data.
Convey only the essential information, with enough context.
Use a subject line that is specific enough so that the recipient can immediately understand the document's subject.
Include only the notes, reasoning, events, and documents that are necessary for the recipient.
Check all pages before sending. Correct the business content in its original source, then create a new export if necessary.
If the file has changed since the last transfer, create a new export from the source rather than treating the old file as up to date.
An element is missing or is blocking the output?
First, check the source, attachments, and selections before restarting the export.
Make sure «Export Folders» is enabled in Settings → Modules, then open the actions menu for the client or project.
Check that it is linked to the selected source, verify its status, and ensure it has been individually selected. Only validated reasoning is displayed.
Check the title of its parent note. If there is no usable title, the document uses the label «Reasoning.».
Remove the item if it is no longer needed, or reselect the file from its source before continuing.
Make sure the disk is connected, that the destination is accessible, and that it has enough space before trying again.
Prepare a file before it is transmitted.
