Import and Organize your documents.
In Mnémosyne, each document is filed in a client folder and can, when applicable, be linked to a specific project. The client, the link level, and the document type are defined directly during import.
Save the file along with its context.
The "Documents" section lets you import, organize, and preview files that are useful for your work.
During the import process, Mnemosyne asks you to specify the client folder to which the file belongs. You then choose whether it should remain in the client folder or be linked to a specific project.
The document type completes this link and allows the document to be filed under the selected record.
Prepare for the import in a single window.
The «Import a Document» window includes the customer selection, the association level, the document type, and the selection of files.
Select the target customer
Select the customer folder where the document should be filed. You can select the file beforehand, but the final import requires a customer.
Define the affiliation
Keep «Client File Only» or select a specific project when the document belongs to that project.
Select the type
Select the document type that corresponds to the document you want to import.
Add the files
Use «Choose Files» or drag and drop your files directly into the designated area.
Check and then import
Review the assignment summary, then click «Import» once the required information has been entered.
The final import requires that a customer be selected.
A task is selected only when the document is associated with a specific project.
The context is established before validation.
Importing isn't just a matter of selecting a file. The window allows you to immediately determine where the part should be filed.
The target customer is the required link. The link level then allows you to store the document at the customer file level or to specify a project.
The document type defines its filing category, while the "Files" section allows you to add one or more documents.
Mnémosyne allows you to select files, but the import button cannot be used until a client folder has been selected.
Maintain this level when the document pertains to the client as a whole and no specific task is required to understand it.
Select an assignment when the document clearly belongs to a case, a service call, or a job that has already been identified in the client's file.
The Customer File ...remains the anchor point.
A document imported into Mnémosyne must always be linked to a customer record in order to be filed.
Choosing a mission adds another level of complexity. It is only useful when the piece actually belongs to that specific work.
If none of the assignments match, simply select «Client file only.».
The type determines its ranking.
During the import, select the type that corresponds to the document. Mnémosyne uses this information to file the document in the selected record.
The customer creates the parent folder in which the document will be stored.
A related assignment appears only when you select this assignment level.
The selected type becomes the category used to classify the document.
The affiliation is Abstract before approval.
The «Classification» section of the window summarizes the information that will be used to classify the document.
In particular, check the status, category, parent folder, and associated assignment before starting the import.
When the selected level is «Client File Only,» no specific assignment is associated with the document.
Preview the file without losing its connection.
After importing, Mnemosyne lets you preview the saved files.
The document remains linked to its client file, its type, and—if you have selected one—an assignment.
To examine its context and relationships in more detail, select the document and then use the Inspector.
Find the coin, and its context.
The global search allows you to find a document based on a keyword without having to go through each client file one by one.
Once the file has been located, the inspector allows you to verify the information and associated relationships.
This way, you can find a document even when you can't immediately remember the client file or the project it was associated with.
The document preserves the item. The note can continue to track the information.
A working note can be linked to a document when a decision, comment, or follow-up information needs to remain associated with that document.
The file has been imported, categorized, and linked to the correct context.
