Create and Organize your assignments.
A task helps you organize a specific piece of work within a client file. It can represent a case, an assignment, a step, or a project to which you can then attach documents and notes.
A research topic inside the client folder.
The client file is the main level in Mnémosyne. A task adds an additional level of organization when a specific job needs to be tracked separately.
It becomes particularly useful when a single client has multiple cases, tasks, or work phases that must not be confused with one another.
An assignment is always linked to a client. Therefore, it does not replace the client record; rather, it organizes part of the work contained within it.
Create a mission when it gives meaning.
It is not necessary to create a task for every document or every action performed for a client.
Create it when the subject is sufficiently independent to be identified and tracked separately in the client file.
Several different topics for the same client can thus become several separate assignments, all linked to the same client file.
Start with the customer, Then define the job.
Since a job is always linked to a client, start by opening the relevant client record.
Open the client folder
Select the customer record to which the new job should be linked.
Create a new mission
Click «New Assignment» from the client folder or use the corresponding action in the interface.
Define the mission
Select the type, give it a clear title, and specify the necessary tracking information.
Save
Check the information, then click «Save.» The assignment is not saved until you confirm it.
The main fields Please fill in.
The window for creating or modifying a job contains the information needed to identify the job and track its progress.
The target client refers to the file to which the assignment belongs. You can then specify its type, title, and status.
Start and end dates are optional: Enable them only when they are useful for your tracking.
Type, Title, and Status do not play the same role.
The "Type" field allows you to specify the general nature of the assignment based on your organization and your business.
The title should make it immediately clear what follows. Avoid titles that are too generic or difficult to distinguish.
The status allows you to maintain the current status of the assignment and distinguish between tasks that are still open and those whose status has changed.
Add a date only if it's useful.
Start and end dates can be set separately. Therefore, a project can have a start date without immediately having an end date.
This makes it possible to track an ongoing project without artificially imposing a deadline that does not yet exist.
When a date becomes relevant, you can edit the assignment and add that information.
Gather the items of the same work.
Once created, the task becomes a context to which you can assign the items that actually belong to that task.
The Mission's Documents
When importing, select the client folder associated with this project when a document belongs specifically to that project.
Traces of Work
A note can be linked to the assignment when a decision, an observation, or a follow-up pertains to that specific topic.
Useful Connections
The inspector then allows you to check the context and the relationships between the elements associated with your work.
A mission must remain easy to understand.
A Clear Goal
Avoid vague titles. The title should make it immediately clear which project is being tracked.
Separate distinct topics
When you have several different projects for the same client, create separate projects rather than combining them all into one.
Keep the context consistent
Attach documents and notes to the assignment only if they are actually related to that work.
The assignment must represent a genuine work task. If a document simply pertains to the client file as a whole, it may remain directly linked to the client.
Search first, inspector next.
The global search feature allows you to find an assignment based on a keyword without having to go through each client file.
Once you've found the task, select it to view its context and relationships in the inspector.
You can also go directly to the customer file if you already know the customer in question.
A mission poses Problem?
First, select the correct client folder, then view their assignments or use the inspector.
Use the global search with the client's name or a keyword found in the assignment title.
Create it when the matter truly warrants being tracked separately within the client file.
Edit the assignment and set the end date when this information becomes relevant.
After editing the assignment details, click «Save» to close the window.
Continue to organize your work.
