Writing and Providing Context your work notes.

Work notes let you quickly jot down an observation, a decision, a reminder, or a follow-up. You can write it down as soon as the information comes to mind, then link it immediately or later to the context it belongs to.

The Role of a Note

Keep track of what matters at work.

A memo is used to record information that must not be lost between two exchanges, two documents, or two stages of a case.

It may contain a comment, a decision, a reminder, or follow-up information. The manual recommends a factual and concise writing style.

When appropriate, the note can then be linked to a client file, an assignment, a document, or another item in the file.

A note can retain
1
An observation A piece of information that caught my attention while I was working.
2
A decision A choice that has been made or the result of a discussion.
3
A Reminder This is something to keep in mind going forward.
4
Follow-up A useful record of the progress of a case, a project, or a document.

Capture First

You don't need to to have the full context right away.

The memo may be drafted even though its assignment has not yet been determined.

This is useful when you need to save a piece of information immediately but don't want to interrupt your work to find the right client, the right project, or the right contacts.

In this case, Mnemosyne flags the note as «To be contextualized.» You can fill in its relationships later.

Create a note

Write now, Then link it if necessary.

A note can be created from a client file, an assignment, or the Notes view. The context can be entered at the time of creation or added later.

1

Create a note

Use the create command from the client folder, the project, or the Notes view.

2

Write down the information

Write the memo in a factual and concise manner. The title is optional.

3

Add the context

Select the customer and add the relevant relationships if you already know them.

4

Save

If the context is not yet complete, the note can remain to be contextualized and completed later.

Inspector

The properties remain around the note.

The inspector allows you to add properties to the note without cluttering up the text area.

In particular, you'll find information on its type, its significance, its status, and its context.

If the customer has not yet been identified, the interface may display «None» and keep the note in the «To be contextualized» status until you complete the customer assignment.

Putting a Note in Context

Link to the note as far as it actually concerns.

The purpose is not to systematically fill in all available relationships. Add only those that help explain why the note exists and what it refers to.

01

Client

Link the note to the customer file when it pertains to the relationship or the file as a whole.

02

Mission

Add a task when the note refers to a specific task within the client file.

03

Document

Link a document when a comment, decision, or follow-up directly pertains to that document.

04

Other relationships

Use the available relationships when another element in the file actually contributes to the context.

Gradual contextualization
1
The news is coming in Write it down while it's still clear.
2
The context is incomplete Keep the note «To be put into context.».
3
You're going back to the note Open the Inspector and add the relationships you now know.
4
The note is back where it belongs It remains linked to the case file and the evidence that will help us understand it later.
To be put into context

Don't lose the information pending its classification.

Useful information may come your way before you know exactly where to put it.

Mnémosyne makes it possible to temporarily separate these two stages: first, capturing the information, and then linking it to the correct context.

The «To Be Contextualized» section then allows you to find the notes that still need to be linked.

i
«Needs to be put into context» is not a mistake.

This is a draft: the note already exists, but some details may be added later.

When should you create a note?

When a piece of information is worth to remain in the file.

In particular, the manual recommends adding notes after a discussion, a decision, or whenever a document or assignment needs to include contextual information. :contentReference[oaicite:1]{index=1}

After a conversation

Phone call or appointment

Keep the few pieces of information that will still be useful when you revisit the file.

Following a decision

Summarize what was decided

Keep a factual record of the choice made without having to rewrite the entire file.

For follow-up

Based on an assignment or a document

Add a note whenever one of these items requires an explanation, a comment, or a follow-up action.

Writing Well

A Helpful Note is still easy to read again.

Recommended

Factual and concise

Write enough so that you can later understand what happened, what was decided, or what needs to be followed up on, without turning every note into an exhaustive report.

Things to Avoid

Information that is impossible to reread

A phrase that’s too vague, such as «to be determined later,» quickly loses its meaning. Include enough information so that the note will still make sense when it’s found several weeks or months later.

i
The title is optional.

Use it when it makes it easier to identify the note. There’s no need to come up with a title if the content is clear enough on its own.

Find Your Notes

Notes and This needs to be put into context.

The sidebar provides direct access to the Notes view as well as the «To Be Contextualized» items.

The «Notes» view lets you review your work history, while "To be contextualized" helps you identify notes that still need to be linked to a specific context.

When you're working from a client file, you can also view the related notes directly from that file.

Two entry points
1
Notes Find the work notes and follow-ups that you've already saved.
2
To be put into context See the notes that still need to be linked or completed.
3
Client File View notes that are already linked when you're working directly in a folder.
Archive a note when it no longer needs to be edited.

The manual recommends archiving the note once it no longer needs to be edited. The goal is to keep a record of it without continuing to treat it as an active work item. :contentReference[oaicite:2]{index=2}

End of follow-up

Keep a record without leaving it open unnecessarily.

A note can remain useful even when its content is no longer intended to change.

Once the follow-up is complete and the note no longer needs to be modified, archive it rather than keeping all items in the same status indefinitely.

If you encounter any difficulties

A note asks Question?

I don't know the client yet

Write the note and leave it marked «To be contextualized.» You can choose the client and their relationships later.

My rating says «Needs context»

This status indicates that the context can still be supplemented. Open the inspector to add the customer and any relevant relationships.

I don't know which relationship to add

Include only those that make it clear which client, assignment, document, or other item the note refers to.

I don't have a title

The title is optional. You can leave the note untitled if its content is clear enough.

The rating no longer needs to change

Archive it once it no longer needs to be edited.
